A museum 3D scanning workshop can do more than produce a digital model. It can make the process of observation, evidence gathering and representation visible.
Begin with one suitable object, replica or handling item that the museum has approved for the activity. Give participants a question they can investigate. Invite them to observe the object, predict what a fixed camera will be able to see, follow the structured capture and compare the reconstruction with the physical source.

The workshop is not defined by unrestricted access to the object or equipment. Participation can include looking closely, predicting, recording conditions, observing capture, comparing results and contributing to interpretation. A public demonstration can use the same inquiry principles with the facilitator retaining more direct control.
This is a framework for a supervised museum experience. The museum still determines which object may be used, who may participate, how the station is operated, which safeguards are required and what may happen to the digital result.

Choose participation depth before choosing the format
“Workshop” and “demonstration” describe different relationships between participants, facilitator and evidence. The right choice depends on the museum’s purpose and verified delivery conditions.
Participatory workshop
In a workshop, participants take responsibility for parts of the inquiry. They may examine the object, record predictions, observe capture conditions, compare evidence and explain what they think happened. The facilitator coordinates the sequence, protects object and equipment boundaries, introduces technical concepts and connects the activity with museum interpretation.
The workshop format is useful when the intended value lies in sustained observation, discussion and evidence-based participation. It does not require every participant to operate the hardware or access the platform.
Facilitator-led demonstration
In a demonstration, the facilitator controls the object, equipment and capture sequence. Visitors can still participate by observing closely, predicting what will be visible, identifying differences and asking questions about the resulting representation.
This format may suit a public program in which operational access must remain tightly controlled. It should still be designed as an inquiry rather than as a performance in which the technology simply produces an impressive result.
Neither label establishes duration, capacity, staffing, age suitability or accessibility. Those are program-level decisions that the museum must define and verify.

Use this seven-stage sequence as a planning framework. Adapt the delivery only after the museum has verified the object, participants, station and intended result.
1. Establish the purpose
Define what participants should investigate. A useful purpose names an observable relationship: visibility from changing viewpoints, the effect of a surface on captured evidence, the difference between an object and its representation, or the consequences of incomplete evidence.
2. Approve the object and intended result
Confirm that the object, replica or handling item may enter the activity and can be used under the proposed conditions. Separately define whether the result is for temporary review, later display, educational reuse or another purpose requiring additional approval.
3. Prepare the station and evidence
Verify the physical setup, device, platform access, local connectivity, object placement and facilitator readiness. Prepare clearly labeled fallback evidence—such as approved source images and an earlier reviewed reconstruction—when it is important that the discussion can continue without depending on a live result.
4. Introduce context and prediction
Present the museum context needed to understand the object, then focus attention on a question that capture can investigate. Ask participants to record what they expect the camera to observe and where they anticipate uncertainty.
5. Facilitate capture
Keep the smartphone fixed while the object rotates. Make the observable process visible without turning the page or activity into a substitute for current operating instructions. Participants can track viewpoints, visibility and capture conditions while the facilitator protects the approved boundaries.
6. Inspect and interpret
Compare the reconstruction with the physical source and the earlier predictions. Identify what is recognizable, incomplete, simplified or uncertain. Separate observations about the result from possible technical explanations and from the museum’s historical, scientific, artistic or cultural interpretation.
7. Document, close and review
Record the evidence, unresolved questions and any follow-up use of the digital result. Reset the station according to locally verified procedures. After the activity, review whether the format supported the intended inquiry and which assumptions should change before another delivery.

Give every participant an evidence-based responsibility
Hands-on participation does not mean that everyone must handle the object or operate the scanner. It means that participants have a meaningful role in building, examining or interpreting evidence.
Adapt responsibilities to the locally defined audience and format:
- Object observer: identifies visible features, hidden regions and material characteristics relevant to the question.
- Prediction recorder: documents what the group expects the camera and reconstruction to represent.
- Capture observer: tracks viewpoints, illumination, movement and other agreed conditions without changing the setup.
- Evidence comparer: identifies correspondences and differences between the physical object, captured evidence and reconstructed geometry.
- Question keeper: records uncertainty, competing explanations and questions that require further evidence.
- Discussion contributor: connects observations to the museum context without treating the model as a complete account of the object.
One participant may hold several responsibilities, or several people may contribute to one shared record. The structure is more important than the role names.
The facilitator has a different responsibility. They maintain the approved object and equipment boundaries, guide the sequence, make technical distinctions clear and prevent a plausible explanation from being presented as established fact. They also ensure that the museum’s interpretation is not replaced by conclusions drawn from geometry alone.

Plan what participants will observe while the model is being made
The reconstruction should not be the first evidence participants encounter. Build the inquiry across the full experience:
- Prediction: What do participants expect to be visible or difficult to represent?
- Conditions: What object orientation, illumination, viewpoint relationship and capture method are being used?
- Observation: What can participants see during capture and in the resulting evidence?
- Comparison: Where do the physical source, prediction and reconstruction agree or differ?
- Interpretation: Which explanation is supported, and what alternative explanations remain?
- Uncertainty: What cannot be concluded from this activity?
- Next question: What controlled comparison or additional museum evidence would help?
If platform processing creates an interval within the program, use it for close observation, context, prediction review or comparison with verified prior evidence. Do not build a public schedule around an unverified processing time.
An incomplete result may prompt a valuable question, but incompleteness is not automatically educational. The facilitator must connect it to observable evidence and the intended inquiry. A visually convincing result also requires scrutiny; appearance alone does not prove dimensional accuracy, completeness or historical meaning.

Design a demonstration as an inquiry, not a performance
A public demonstration often gives the facilitator more control, but it need not make visitors passive.
Before capture, invite visitors to inspect the approved object or replica from the permitted viewpoint. Ask what they expect a fixed camera to observe as the object rotates. During capture, direct attention to surfaces entering and leaving view. When evidence is available, compare it with the prediction and the physical source.
Plan a useful route when a live reconstruction is unavailable or not suitable for discussion. Verified fallback evidence can include:
- approved images from the current capture;
- a previously reviewed reconstruction of the same approved teaching object;
- a clearly labeled incomplete example chosen for a specific question;
- a physical-to-digital comparison prepared and approved before the event.
Label prior and live evidence clearly. Do not present a stored result as though it was created during the current demonstration.
The strongest close is not “the scanner worked.” It is a concise return to the inquiry: what the visitors observed, what the representation supports, what remains uncertain and how the museum’s wider evidence adds meaning.

- conservation, stability, handling, security and placement conditions;
- cultural sensitivity, provenance and interpretive considerations;
- technical suitability assessed separately from institutional permission.
People
- intended audience and locally appropriate facilitation;
- safeguarding, privacy, photography and consent requirements;
- accessibility of the physical space, activity, explanation and evidence;
- participant access to objects, devices, accounts and digital results.
Station
- current hardware, device and platform requirements;
- space, stability, lighting, power, connectivity and visitor circulation;
- staff preparation, supervision and fallback procedures;
- current safety requirements, especially for any optional Laser activity.
Digital result
- ownership, rights, attribution and metadata;
- permitted review, display, download, sharing and reuse;
- retention, access, replacement and deletion decisions;
- review of interpretive context before public presentation.
ASCAND’s technical ability to capture evidence does not grant permission to handle, scan, publish or reuse an object. Approval must come from the museum’s own responsible teams and policies.

Define one pilot before designing a permanent program
Create a bounded pilot brief that can be reviewed by the relevant museum teams:
- Purpose: What should the experience help participants investigate?
- Approved object: What object or replica may be used, and under which conditions?
- Intended audience: Who is the pilot being designed for, based on verified local planning?
- Participation format: Workshop, demonstration or another explicitly defined facilitated format?
- Observable evidence: What will participants predict, observe, compare and discuss?
- Facilitation: Who controls the object, station, sequence and interpretation?
- Result use: What may happen to the reconstruction and supporting evidence after the pilot?
- Review: Which teams must approve delivery, evaluate the pilot and authorize any next use?
This creates a concrete experience the museum can evaluate without promising a permanent installation, fixed public-program model or unrestricted visitor workflow.
